Procedures for Cataloging Special Collections Serials

I. Special Collections titles

  1. Paperwork only, no pieces
  2. Serials catalogers will return all paperwork to Head of Serials.

II. Special Collections should send the following:

  1. Memo with:
    a. Bib Location: (e.g., SPCOL)
    b. Check-in Location: (e.g., spxt)
    c. Additional notes (e.g., height in centimeters)
    d. ANTPAC record number if there is an ANTPAC record
  2. Holding list showing:
    a. Any numbering or dates for each issue
    b. Title of each issue
  3. Photocopies of cover, title page (t.p.), publishing information, and/or table of contents (TOC) of:
    a. First and last issue
    b. Any title variations
    c. Additional information, as needed (e.g., col. Ill.)
  4. Series treatment--analyzed or not analyzed (default = not analyzed)

III. Things serials catalogers need to do:

  1. If you need more information:
    a. Contact Special Collections contact person (e.g., Andrew).
    b. In some cases a visit to Special Collections may be appropriate.
    c. If you are cataloging a title for an area other than Special Collections and discover holdings for that title in Spec. Coll., notify Spec. Coll. contact person and ask for packet of information (see II above).
    d. If other formats are also available, catalog for Spec Coll and add constant data (acd) for format.
  2. Search for ANTPAC record
    a. If one exists, and is adequate to catalog, skip the OCLC step and do all work in ANTPAC.
    b. If one exists, but is inadequate to use, note the bib record no. to use for OCLC overlay, and go to step 3.
    c. If no ANTPAC record exists, go straight to step 3.
  3. Search for correct OCLC record; if none, create original.
  4. Follow general serials cataloging procedures to catalog the item.

IV. Exporting record

  1. Check to see if OCLC record has already been Updated.
  2. If an Update is necessary, always do so before exporting.
  3. Add 949 to overlay ANTPAC bib record, if there is one.
  4. Export OCLC record.

V. ANTPAC

  1. Create (or update) Checkin Record
    a. Note: Do not stamp, hook, or mark
    b. Location: [provided by Special Collections]
    c. LIB HAS in MARC format: [provided by Special Collections]
    d. Fill in other fields or notes as appropriate.
  2. If necessary, transfer item/order records and withdraw obsolete mono or serial records if not overlaid.
  3. Create item records as needed (no barcode).
